01 / The business case

Data entry should not be your bottleneck.

A number in a JSON file is not useful if it is the wrong number. Good document automation includes source traceability, business checks and a place to resolve exceptions—especially when layouts, scan quality and missing information vary.

THE FRICTION TODAY

More effort than it should take.

  • Rekeying information from PDFs
  • Finding mistakes after data has moved on
  • Different document layouts breaking the process
WHAT WE BUILD TOWARDS

A clear path to the next step.

  • Structured fields with source references
  • Checks and a review queue before export
  • A workflow evaluated on your actual formats

02 / What the solution could look like

Repeated documents. A clear definition of correct.

Best for repeated document types with a clear schema and people available to review exceptions.

AGREE SUCCESS BEFORE BUILDINGField-level quality, correction time and processing cost

A poor fit for a promise of perfect extraction from every scan. Handwriting, mixed layouts and low-quality images need separate evaluation.

03 / Related structured-workflow work, not an OCR benchmark

Structured logic behind a better offer process.

Related workflow work: Shapotools turns workbook-based configuration and pricing into a guided offer process. It demonstrates our approach to business rules and structured outputs. Document extraction is evaluated separately against your own sample set.

04 / A focused implementation

From sample set to a reviewable workflow.

Invoices and purchase records

Capture agreed fields and line items, check required values and flag mismatches. Keep approvals and payment decisions with your existing financial controls.

Forms and onboarding packs

Organise submitted information, check completeness and identify records that need clarification. Restrict access to personal information according to the agreed workflow.

Operational PDFs and reports

Turn repeat document types into structured records that your team can search, review and export. Evaluate unusual layouts separately rather than assuming all PDFs behave alike.

Document automation starter plan

A useful starting point. No guesswork.

A pilot checklist with data requirements and review checkpoints. Choose your focus for a useful starting checklist, or speak directly to the builders:

  1. Define a consistent output schema for one document family.
  2. Choose one repeated document type and list the exact fields you need.
  3. Keep uncertain results in a human review queue before they reach another system.

One document type. The right fields. A useful first pilot.

You bring the business problem. We’ll talk through:

  • The fields and formats that matter
  • Validation and review requirements
  • A pilot scope and evaluation approach
A conversation, not a commitment.

We’ll discuss fit and scope before quoting a build. No detailed specification needed.

Small scope first.
Clear costs before you commit.

Document volume, page count, layout variation, fields, review needs and integrations drive the estimate. We distinguish one-time implementation from recurring processing and hosting costs.

06 / If we decide to work together

Start focused.
Expand on evidence.

  1. 01

    Define the dataset

Agree representative, appropriately redacted samples and the fields that matter.

  2. 02

    Test the hard cases

Evaluate missing values, unclear scans and layout variations before choosing the workflow.

  3. 03

    Pilot with reviewers

Measure field-level quality, correction time and exception rates before increasing volume.

What’s included, what affects cost, and when we’re a good fit

Proposed build scope

  • An agreed document set, field schema and acceptance criteria
  • Extraction suited to your layouts and scan quality
  • Validation rules, duplicate checks and source references
  • An exception queue with a human correction path
  • Approved exports or integration with your chosen system

Cost & timing

Document volume, page count, layout variation, fields, review needs and integrations drive the estimate. We distinguish one-time implementation from recurring processing and hosting costs.

Is it a fit?

Best for repeated document types with a clear schema and people available to review exceptions.

A poor fit for a promise of perfect extraction from every scan. Handwriting, mixed layouts and low-quality images need separate evaluation.

Before we talk

A few things
you might be wondering.

Ask us something else
What accuracy can you guarantee?

No single accuracy figure is meaningful before testing your documents. We agree field-level acceptance criteria on a representative sample, report exceptions and keep human review where the consequences of an error matter.

Can this process scanned PDFs and images?

We can evaluate them. OCR quality depends on resolution, layout, language and legibility. Handwritten fields or damaged scans may require a different approach or manual review.

Do I need to upload confidential documents to enquire?

No. Describe the document type, volume and required fields. Do not send confidential records through this enquiry form. Sample exchange, access controls and data-processing arrangements are agreed separately.

Can extracted data go into our ERP or CRM?

Subject to available APIs and permissions, that can be part of the scope. A controlled export may be a better first step if the destination system has limited integration support.

How do we know whether automation is worthwhile?

Compare the existing handling time and error correction effort with pilot results, including review time and recurring costs. We recommend starting with a repeated document type that has enough volume to make the comparison useful.
